Let me take you on a little journey. Picture yourself waking up on a Monday morning, ready to attack the day. The sun is shining, the birds are chirping, and you're filled with a sense of purpose. But as you sit down at your desk (or kitchen table, if that's your office these days), you're immediately overwhelmed by a torrent of distractions and an ever-growing to-do list. Sound familiar? You're not alone.
We've all been there—staring at the chaos around us, wondering how to make sense of it all. The good news? Bringing order to your life and making the most of your time isn’t as elusive as it might seem. I’ve been there myself, I am admittedly there on a fairly regular basis, but I’ve learned a thing or two about how to get from frazzled to focused. I’d love to share some of those insights with you—think of it as a little storytelling session mixed with practical, easy-to-implement time management tips. Ready? Let’s go.
The Power of a To-Do List and Planning Ahead

I’ve always been a to-do list person, it’s somewhere I can go to see what needs to be done and receive a dopamine rush crossing it off my list once it's done. It’s like finding that puzzle piece and finding its rightful place.
Writing down (or typing) everything I need to accomplish gives me clarity, but what really elevates the game is prioritizing those tasks. Where task lists don’t work, is when you feel like you’ve got the longest list in the world, and you end up avoiding it. It’s not about tackling everything all at once —it is about prioritizing and focusing on what matters most. Whether it's scribbled on a piece of paper or managed through smart digital tools like, Google Tasks, Asana, Monday, Hubspot or Trello, a to-do list is the anchor that keeps you grounded amidst the chaos.
For many people, planning your day ahead of time, can be a game-changer. This simple act sets the stage for a more intentional morning and afternoon. Instead of wading through distractions, you’ll wake up with a sense of purpose, know exactly what you want to achieve and work through doing it. Combine this with identifying your three most important tasks (yes, just three!) to boost your time management skills and enhance productivity. for the day, and suddenly, that mountain of work doesn’t feel so insurmountable.
Time is a Treasure—Protect it Wisely
Speaking of mountains, imagine climbing one without a map. That’s what managing your time feels like without a schedule or calendar. Keeping track of deadlines, appointments, and events isn’t just about saving time—it’s about how you approach time management, and how you create mental space for focused work. Whether you use time blocking to dedicate time for tasks or spend your time mapping out your week in advance, a calendar can be your best ally for effective time management and peak performance.
2025 has been a year full of back to back activities, requiring efficient time management to maintain balance. This fast-paced world is keeping us on our toes. My calendar has never been so busy, there's now less time than ever to get everything done. Effective time management including time blocking has been essential to providing greater levels of productivity, staying calm, and reducing stress in my personal and professional sphere.
Need even more guidance? Enter the Eisenhower Matrix—a brilliant time management tool for prioritization, deciding what truly deserves your attention. Tasks fall into one of four quadrants: urgent and important, important but not urgent, urgent but not important, and neither urgent nor important. The goal? Focus on what requires urgency and importance, delegate the less critical tasks, identify time wasters and drop them.
And speaking of time wasters, let’s come back to those distractions. Your ability to manage time has never been easier. You're in control! It’s easy to lose hours scrolling through social media or responding to emails the moment they hit your inbox. Instead, change your approach to work, allocate your time for checking emails and embrace the art of saying “no.” (I know, ironic right, when my business is all about YES!) No, your time isn’t always available. No, you don’t have to say yes to every opportunity. Protecting your time and resources is an act of self-care. Saying “No” can mean saying YES to the right things you need in your life.
Mastering the Art of Delegation
Here’s a plot twist: You don’t have to do it all. In fact, you shouldn’t. I used to think delegating tasks meant I wasn’t capable of handling everything myself. But the reality? Delegation frees up your time, it's about sharing the load. Offloading tasks that someone else can handle not only reduces stress but allows us to focus on what we’re truly good at. Someone else can do the task management. So you can minimize distractions; it’s like giving your brain the gift of focus, maximizing productivity.
Pro tip: Start small. Outsource tasks that drain your energy or eat up valuable time, freeing you for the things you actually enjoy. After all, no hero’s journey is complete without a trusted sidekick.
Self-Care…The Missing Piece to Productivity

Ah, self-care and mastering time management. It's the secret ingredient that transforms a good productivity plan into a great one. I've learned that pushing through exhaustion doesn't make you more productive—it makes you burn out. Taking regular breaks, meditating, exercising, or simply sipping coffee in silence can recharge your mind and body.
Have you ever noticed how that one quick walk around the block can spark creativity when you're stuck on a problem? Or how a 10-minute meditation can reset your focus and help you manage time effectively? Don't underestimate the power of these moments. They'll equip you to return to your tasks with renewed energy and clarity.
But here's something even more powerful – completely disconnecting from your workplace environment can be a key time management strategy. That’s right, the most productive thing you can do is step away entirely. Taking a few days in a different environment isn't just about relaxation – it's about rebalancing your energy, gaining fresh perspectives and rekindling your creative spark. Even having your phone in the room can lower productivity, so imagine what truly disconnecting in a new environment can do for your mental clarity.
Here are some of my personal favorites to do:
Go snowboarding for a day (a POW day is preferable!)
Go for a hike (The BCMC at Grouse works a treat!)
A 15 minute - mini yoga session.
I love to chat with a friend on the phone to have a catch up.
Cooking some food or simply making a cup of tea
Doing a pull up each time I do work for a different client
Making It All Work Together
The beauty of productivity is that it’s a blend of intentional habits. Starting your day with a sense of direction (hello, to-do lists and time-blocking calendars), prioritizing tasks using tools like the Eisenhower Matrix, cutting out distractions, and keeping enough time for yourself—they all weave together perfectly. In the end, it’s about creating a life, not just a system, that supports your goals and priorities.
And here’s my favorite part—a life of organization doesn’t just get things done. It opens up space for creativity, deep focus, and an overall sense of peace and achievement. When you master these tools, time becomes something you shape, not something that runs away from you.
So, as you sit staring at that Monday morning to-do list or calendar filled with tasks, remember: You’ve got this. Time is precious, yes, but it’s within your control. And when you master the synergy between organization and productivity, you’ll have more time for what truly matters—whether it’s growing your business, spending time with loved ones, or simply enjoying the journey.
